Wellbeing & Social Prescribing Retreat for Healthcare Professionals

Thank you for registering for Flip the Script: A Wellbeing & Social Prescribing Retreat for Healthcare Professionals (“the Retreat”). By registering for and attending the Retreat, you acknowledge that you have read, understood and agree to these Terms & Conditions.

1. About the Retreat

Flip the Script is an educational and experiential wellbeing event designed for healthcare professionals and invited guests. The Retreat combines presentations, experiential learning, community-based activities and networking to promote healthcare workforce wellbeing and increase understanding of loneliness, social isolation, connection and social prescribing.

Participation in all activities is voluntary.

2. Health Declaration

By attending the Retreat, you confirm that you are medically fit to participate in the activities you choose, will exercise reasonable judgement regarding your own health, fitness and wellbeing, and are responsible for determining whether each activity is appropriate for you.

If you have any medical condition, injury or concern that may affect your participation, you are encouraged to seek medical advice before attending the Retreat.

If at any time you feel unwell or unable to participate safely, you should discontinue the activity immediately.

3. Assumption of Risk and Liability Waiver

Participation in the Retreat is entirely voluntary and undertaken at your own risk.

The Retreat includes indoor and outdoor wellbeing activities that may involve walking, movement, beach environments, parks, public spaces and community venues. These activities carry inherent risks, including slips, trips and falls; uneven or natural terrain; weather conditions; physical exertion; movement-based activities; travel between activities; interactions with members of the public; and accidental injury.

By participating, you acknowledge these risks and voluntarily accept responsibility for your participation.

To the fullest extent permitted by law, you release and hold harmless the event organisers, presenters, facilitators, volunteers, venue providers, sponsors, partners and auspice organisations from liability for personal injury, illness, loss or damage arising from your participation, except where liability cannot legally be excluded under Australian law.

4. Public Spaces

Some activities will take place in public locations including beaches, parks, walking paths and other community spaces.

Participants agree to follow facilitator instructions, respect other participants and members of the public, comply with all applicable laws and venue requirements, take reasonable care for their own safety, and respect public facilities and the environment.

5. Venue Requirements

Participants agree to comply with all reasonable directions provided by event organisers, presenters and facilitators, venue staff, and authorised event volunteers.

The organisers reserve the right to refuse participation or request a participant leave the Retreat if their behaviour is unsafe, disruptive or inappropriate.

6. Program Changes

The organisers reserve the right to amend, substitute, postpone, relocate or cancel any aspect of the Retreat where reasonably necessary.

This may include changes resulting from adverse weather, beach or environmental conditions, participant safety considerations, presenter or facilitator availability, venue requirements, operational requirements, or other unforeseen circumstances beyond the organisers' reasonable control.

Where practicable, participants will be advised of significant changes.

7. Weather and Outdoor Activities

The Retreat embraces the unique natural environment of the Gold Coast.

Outdoor activities may be modified, relocated or replaced with suitable alternatives if weather or environmental conditions make them unsuitable or unsafe.

Participant safety will always take precedence over the published program.

8. Photography, Videography and Media Consent

Photography, videography and audio recordings may be taken throughout the Retreat.

By attending the Retreat, you consent to the organisers and authorised partners using photographs, video recordings, audio recordings and images in which you may appear for future event promotion, websites, social media, newsletters, publications, presentations, annual reports, educational resources, media releases, marketing materials and grant reporting.

No compensation will be payable for the use of these materials.

If you do not wish to be photographed or filmed, please notify the organisers before the commencement of the Retreat. Every reasonable effort will be made to respect your preference; however, due to the nature of a public event, complete exclusion from group photographs or recordings cannot be guaranteed.

9. Privacy

Personal information collected during registration will be used for event administration, participant communication, evaluation, reporting, future event information where consent has been provided, and improving future educational activities.

Personal information will be managed in accordance with the Privacy Act 1988 (Cth) and other applicable Australian privacy legislation.

10. Evaluation and Research

Participants may be invited to complete surveys before, during and after the Retreat to evaluate participant wellbeing, learning outcomes and the impact of the event.

Evaluation findings may be used in de-identified form for quality improvement, reports, conference presentations, publications, research, funding acquittals and future program development.

No participant will be personally identified without their separate written consent. Participation in evaluation activities is voluntary unless otherwise specified.

11. Code of Conduct

Flip the Script is committed to providing a welcoming, inclusive and respectful environment.

Participants are expected to treat others with courtesy and respect, contribute to an inclusive environment, maintain professional behaviour, respect the confidentiality of personal stories shared during discussions, and refrain from harassment, discrimination or inappropriate behaviour.

The organisers reserve the right to remove any participant whose behaviour compromises the safety or wellbeing of others.

12. Beach and Water Activities

Some activities may occur on beaches or include optional walking in shallow water. Participation in these activities is entirely voluntary.

Participants are responsible for deciding whether they are comfortable participating and must follow any reasonable safety directions provided by facilitators.

The Retreat does not include supervised swimming activities unless specifically advised.

13. Intellectual Property

Unless otherwise stated, all presentations, educational materials, workbooks, logos, branding, resources and other content associated with Flip the Script remain the intellectual property of the presenters and/or organisers.

These materials may not be reproduced, distributed, adapted or used for commercial purposes without prior written permission.

14. Force Majeure

The organisers shall not be liable for any delay, modification or cancellation of the Retreat resulting from circumstances beyond their reasonable control, including severe weather, natural disasters, government restrictions, public health emergencies, venue closures, industrial action or other unforeseen events.

15. Emergency Response

In the event of a medical emergency or other serious incident, the organisers or venue staff may contact the appropriate emergency services, including 000, to obtain assistance.

The organisers do not provide medical or healthcare services as part of the Retreat and are not responsible for providing medical treatment to participants.

16. Cancellation and Refunds

Cancellation and refund arrangements, if applicable, will be outlined on the Humanitix event page.

If the Retreat is cancelled due to circumstances beyond the organisers' reasonable control, participants will be notified as soon as practicable. Any refunds will be managed in accordance with the published Humanitix event policy.

17. Nature of the Retreat

The Retreat is an educational and wellbeing experience. Attendance does not establish a healthcare provider–patient relationship between participants and the organisers, presenters or facilitators.

Information shared during the Retreat is intended for educational purposes only and should not be relied upon as personal medical, psychological or healthcare advice.

Participants should seek advice from an appropriately qualified healthcare professional regarding their individual circumstances.

18. Acceptance of Terms

By registering for Flip the Script through Humanitix and attending the Retreat, you acknowledge and agree that you have read and understood these Terms & Conditions, voluntarily participate at your own risk, accept responsibility for your own health, safety and wellbeing during the Retreat, consent to photography and videography unless you notify the organisers otherwise, agree to comply with all reasonable directions provided by organisers, presenters, facilitators and venue staff, and agree to these Terms & Conditions in full.
